Location Settings

The Settings tab on the left-hand menu in the management console gives access to settings for the currently selected location. Only the currently selected location is changed by the settings in this section.

You can see the currently selected location from the location selector in the top-right of the screen.

This page looks at some of the most important location-specific settings available on the Settings tab. We do not cover all of the location settings, many of which are small and self-explanatory. If you have doubts about a particular feature, please feel free to contact us at info@simply-connect.com for more details about that feature.

Private Location

All new locations start out as private locations. You can do everything with a private location that you can do with a public location: the only difference is that a private location is not listed in the list of locations available when a new passenger creates an account on the passenger app. Therefore, a passenger wishing to join a private location must be sent a secret registration link.

If you wish to change your location from private to public, be aware that this is currently an irreversible operation. Further, it is not an automatic operation. To make your location public, click “Make public” and answer “Yes”. We will receive your request and might get back to you if we need any further information about your organisation before converting it to a public location.

Whilst often used for testing and developing a service, there is no restriction on continuing to use a private location for real-life/commercial use if you wish to maintain control over who is able to register for your service.

Payments Mode

All new locations starts out with payments in test mode. This means that no real card payments can be made. Where offered, card payments can be made with (and only with) a special test card number when in test payments mode.

If you offer card payments as a payment option (see below), be sure to enable live payments before running a live service, or your passengers will be travelling for free! (Tip: if you genuinely want your passengers to travel for free there is a better way of achieving this than forcing them to fill in test card details each time: see the payment and pricing options below for details).

A new passenger is adding a test card to their account with a location that has payments in test mode. A test card number is given and is freely available – but no financial transaction will actually be carried out with this card number.

A passenger who has previously added a test card to their account, for a location that has payments in test mode, is confirming a journey booking. They receive another warning that no actual payment will be made.

Similar to changing from a private to a public location, switching to live payments is not an automatic process and we may need to request further information from you before enabling live payments. To request a change to live payments, click “Enable live payments”, then “Yes”.

You only need to enable live payments before offering a live service if you want to accept online card payments. If you prefer to accept cash and/or charge your customers by another means, you can leave payments in test mode and update the Payments and Pricing options to disable online card payments.

Payment and Pricing Options

The payment and pricing options has three main sections: the payment methods you want to make available to your passengers; the currency you want to charge them in (if applicable); and basic pricing rules (if applicable).

Payment Options

The payment options has four top-level options: online payments; payments to drivers; price calculation only; payments and pricing disabled.

Online payments

If you select this option, Simply Connect will calculate and display a journey price according to the currency and cost settings you specify below, and will request payment from the passenger in the passenger app at the time of booking.

With this option, Simply Connect handles all journey payments for you, and you will receive bulk payments for journeys from Simply Connect. This option is only available in certain countries and for certain currencies.

Note that with this option, Simply Connect incurs card processing fees from our card processing partner, Stripe. This card processing fee will be deducted from your payout. Depending on your subscription with Simply Connect, we may also charge a platform fee for your use of Simply Connect.

You can select this option in combination with payment collection by drivers. If you select both options, the Simply Connect passenger app will ask the passenger to choose between the two payment options when they confirm their journey.

Payments to drivers

If you select this option, Simply Connect will calculate and display a journey price according to the currency and cost settings you specify below, and will request payment from the passenger in the passenger app at the time of booking.

With this option, Simply Connect handles all journey payments for you, and you will receive bulk payments for journeys from Simply Connect. This option is only available in certain countries and for certain currencies.

Note that with this option, Simply Connect incurs card processing fees from our card processing partner, Stripe. This card processing fee will be deducted from your payout. Depending on your subscription with Simply Connect, we may also charge a platform fee for your use of Simply Connect.

Deferred payments (only available with payments to drivers)

With this option, you also have the possibility of enabling deferred payments.

Deferred payments can be useful to passengers who have chosen at booking time to pay in the vehicle, but who upon reaching the vehicle realise that they do not have sufficient cash, or a card payment fails. Without deferred payments enabled, the driver would normally be expected to refuse entry to the vehicle to the passenger by pressing the failed payment button.

However, if you enable deferred payments, the driver can present the passenger with the option of paying at a later time. If the passenger chooses this option, the system will remember that the passenger owes money and will prompt the driver to collect the additional fare(s) on subsequent journeys.

Deferred payments are only available when one or both of in-vehicle card and cash options are enabled.

Price calculation only

If you choose this option, Simply Connect will calculate and display a journey price according to the currency and cost settings you specify below, and will ask passengers to agree to the price before confirming each journey booking (but Simply Connect will not charge them). You will be able to export details of how much each passenger should be billed from the admin app, and will be responsible for collecting payment from your passengers for their journeys.

With this option, Simply Connect will not handle any payments on your behalf. You will be able to select any of the global currencies listed in the currencies section below.

Pricing disabled

If you choose this option, Simply Connect will allow passengers to book journeys without displaying a price or requesting payment. From the admin app you will be able to export a spreadsheet containing details of journeys that your passengers have booked, and you can decide how (or whether) to charge them.

This option effectively disables all pricing and payment capabilities for Simply Connect in Tenerife. Therefore, if you choose this option, you cannot select currencies or pricing rules below.

Currency and Pricing Rules

If you choose any of the first three payment options (ie, anything except fully disabling payments and pricing) then you should choose a currency and set pricing rules that determine how journeys for your passengers should be priced.

Only three currencies are currently available for online charging: EUR, USD and GBP. If you select a different currency while online charging is selected, you will get an error when you try to save the changes. If you wish to use a different currency to the above three options with online charging, contact us and we can discuss it.

If you do not select online charging as a payment option, you can select any of the currencies from the list.

Below the currency selector, you can set rules for how journeys should be priced, according to journey length and number of passengers.

We appreciate that the pricing rules offered here are a little basic. If you have more complex logic – or other – requirements for pricing journeys, get in touch to discuss them.

Automation Settings

In the final step of setting up your location, you were asked to select an initial automation mode for the new location. In the Automation Settings, you can change this selection.

You can read more about automatic versus manual mode by clicking the first blue information box in the Automation Settings, or by visiting the help for the final step of the new location wizard (link opens in new tab).

Changing the operation mode of an existing system can have a major effect on your passengers if not carried out carefully. You cannot change the operation mode while there are any accepted upcoming journeys for passengers – you must first cancel any existing journeys or wait for them to complete.

If you have not used live mode before, we recommend that you create a parallel location in the same geographical area and test it without paying passengers to ensure you are satisfied with the optimisation parameters before changing the operation mode of a live system.

Automated Vehicle Selection

This section applies only when the location is in automatic mode. The setting it describes is not available when the system is in manual mode.

Simply Connect’s automated scheduling and routing algorithms work most efficiently when they are given free reign to assign any passenger to any vehicle automatically.

However, local area administrators have sometimes expressed a preference to specify a particular vehicle to a particular passenger. This is quite common especially in smaller private transportation setups, where customers might be known by name and/or prefer to travel in a particular vehicle.

For this reason, there is an option to require, allow but not require, or not allow a local area administrator to select a specific vehicle for a journey. If you choose to require or allow but not require an administrator to select the vehicle, the vehicle selection occurs at the time of booking in the admin app. This option comes into place only when the administrator books a journey for a passenger from the admin app. If the passenger books the journey themselves through the passenger app, the system will always (when in automatic mode) determine the best vehicle to use.

If you allow or require an administrator to select the vehicle, the administrator is also able to specify the pick-up and drop-off times for each journey in the admin app. The admin app will assist the administrator in selecting appropriate times for the selected vehicle and will warn them if the times selected by the admin are unlikely to work. However, the admin app will not prevent the admin from overriding its suggested times and/or ignoring any warnings.
